1. Who we are
The Caribbean Health AI Congress (“CHAIC”, “we”, “us”) is organized by the Advanced Medical Research Center (AMRC) in San Juan, Puerto Rico. AMRC is the controller responsible for the personal data described in this notice, and decides why and how that data is used.
This notice covers the CHAIC 2026 congress website. It does not cover the separate ticketing platform we hand off to at checkout, or any other site we link out to — those run under their own privacy policies, which we name in section 5.

2. What we collect
We do not ask you to create an account, and this site has no forms that post data to us. What we collect falls into three buckets.
Information collected automatically
Our host records standard server logs when your browser requests a page — IP address, the page requested, timestamp, referring page, and your browser and operating system. This happens for every visitor and is needed to serve the site and defend it against abuse.
Analytics and advertising measurement
If you allow it, Google Analytics 4 and the Meta Pixel collect information about how you use this site: pages viewed, time on page, how you arrived, approximate location derived from your IP address, device and browser characteristics, and a randomly generated identifier stored in a cookie so repeat visits can be recognized. The Meta Pixel additionally tells Meta that a browser visited this site, which Meta may connect to a Facebook or Instagram account it already knows.
These do not run until you consent if you are visiting from the EEA, the UK, or Switzerland. See section 8 for how consent works elsewhere and how to change it.
Information you send us
If you email info@chaicpr.com, info@chaicpr.com, or use the “Become a Sponsor” link, we receive whatever you put in that message — typically your name, email address, organization, and your reason for writing.
We do not knowingly collect health information, and you should not send patient data or any other protected health information to us. This site is not a covered entity or business associate under HIPAA, and nothing here is a secure channel for clinical data.
4. Why we use it
We use this information only for the purposes below. We do not sell personal data, we do not share it for cross-context behavioral advertising beyond the Meta measurement described here, and we make no automated decisions about you that have legal or similarly significant effects.
- Running and securing the site — serving pages, keeping them working across browsers, and investigating abuse or outages. Legal basis: legitimate interests.
- Remembering your privacy choice — so the banner does not reappear on every page. Legal basis: legitimate interests (and necessary to honor your consent decision).
- Understanding how the site is used — which sessions, speakers, and workshops draw interest, so we can shape the programme and the site around it. Legal basis: consent.
- Measuring our advertising — whether the people we are trying to reach are actually finding the congress, and reaching similar audiences on Meta’s platforms. Legal basis: consent.
- Answering you — replying to email, sponsorship enquiries, and press requests. Legal basis: legitimate interests, or performance of a contract where you are registering or sponsoring.
Legal bases are stated for visitors covered by the EU/UK GDPR. Where consent is the basis, you can withdraw it at any time without affecting the lawfulness of processing already carried out.
5. Who receives it
We keep the list of third parties deliberately short. Each one below acts as our processor or, where noted, as an independent controller under its own policy.

Luma (
lu.ma) — our ticketing and registration platform. Clicking any “Register” button hands you off to lu.ma/oollgim4, where Luma collects your registration details and payment information directly. We never see your card details. Luma’s handling of that data is governed by its own policy, and it acts as an independent controller for it. Beyond these, we disclose personal data only where we are legally required to, or where it is necessary to establish or defend a legal claim.
6. How long we keep it
- Analytics data — retained on our Google Analytics property for up to 14 months, after which Google deletes the event-level records. Aggregate reports may persist longer.
- Meta Pixel data — retained by Meta under its own retention schedule, which we do not control.
- Your privacy choice — stored in your browser until you clear site data or change it. It never leaves your device.
- Server logs — retained by our host for a short operational period, typically measured in weeks.
- Email you send us — kept for as long as needed to handle your request and, where it relates to registration or sponsorship, for the record of the 2026 congress and any period required by tax or accounting rules.
7. Where it is processed
CHAIC operates from Puerto Rico, a United States territory. Our host, our analytics provider, our advertising provider, and our ticketing platform are all United States companies, so information covered by this notice is processed in the United States.
If you are in the EEA, the UK, or Switzerland, that is a transfer outside your jurisdiction. Google, Meta, and our other US providers rely on the EU–US Data Privacy Framework and its UK and Swiss extensions, on Standard Contractual Clauses, or on both. Details are in each provider’s policy, linked in section 5.
8. Your choices
Consent on this site
Analytics and marketing tags are set to denied before anything loads. If you are visiting from the EEA, the UK, or Switzerland, they stay denied until you accept — the banner asks first, and nothing non-essential runs in the meantime. Outside those regions, they are enabled by default and you can switch them off at any time.
Use Review cookie choices to open the banner again and change either category independently. Your decision is stored only in your own browser, so clearing site data resets it, and a different browser or device asks again.
Browser and platform controls
- Every major browser can block or delete cookies for a specific site. Blocking essential cookies may break parts of this site.
- Google offers a Google Analytics Opt-out Browser Add-on that blocks Analytics across every site you visit.
- Meta lets you adjust what it uses for advertising in Ad Preferences and, for activity collected off its platforms, in Accounts Center.
This site does not currently respond to Do Not Track or Global Privacy Control browser signals. The consent banner is the control that works here.
9. Your rights
Depending on where you live, you may have the right to ask us to give you a copy of your personal data, correct it, delete it, restrict or object to how we use it, or send it to another provider. Where we rely on consent, you can withdraw it at any time. These rights apply in full to visitors covered by the EU or UK GDPR.
To exercise any of them, email info@chaicpr.com and tell us what you want us to do. We will respond within one month, and we will not charge you or treat you differently for asking. We may need to ask a question or two to confirm we are talking to the right person.
Much of what this notice covers is browser-level data that we cannot link back to you by name. If that is the case for your request, we will say so and point you at the controls in section 8, which you can use directly and immediately.
If you are in the EEA or the UK and you are unhappy with how we have handled your request, you can complain to your national data protection authority.
10. Children
CHAIC is a professional congress for clinicians, researchers, students in the health professions, and industry. This site is not directed at children, and we do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, email info@chaicpr.com and we will delete it.
11. Changes to this notice
We update this notice when the site’s data practices change — a new analytics tool, a different ticketing platform, an added integration. The “Last updated” date at the top of the page always reflects the current version.
If a change means we want to use your information in a way this notice does not already cover, we will ask for your consent again rather than rely on the decision you made under an earlier version.
